This position is responsible to act as the first point of contact for visitors and guests of our Agency. Duties will include offering administrative support across the organization and the ability to inform individuals about the services we offer.

Essential Job Duties and Responsibilities: (Additional duties may be assigned)
1. Greet and welcome guests as soon as they arrive
2. Answer, screen and document incoming calls on multi-line phone system
3. Receive, sort and distribute incoming mail and faxes, as well as preparing outgoing mail (incl. bulk)
4. Provide basic and accurate information in person and on the phone or email
5. Proficient in Microsoft Office Suite
6. Hands-on experience with office equipment including printer, copier, fax and arrange for equipment maintenance
7. Scheduling conference rooms and some upkeep of CEO’s schedule
8. Perform clerical duties as assigned, with the ability to prioritize those tasks appropriately
9. Be the point person for all clerical aspects of our Anger Management classes
10. Maintain and provide current Therapist Referral and Eating Disorders Hotline information to callers
11. Keep inventory and order office supplies - including occasional lunch orders for meetings, etc.
12. Setting up the rooms needed for meetings (including AV equipment, when needed)
13. Ensure reception area, conference rooms and other common areas are clean, tidy and presentable (including replacing empty receptacles in bathrooms)
14. Maintain office security by following safety procedures and monitoring access to coworkers via reception
15. Keep records of Agency Van usage and manage the calendar of its use
16. Professional, yet friendly attitude and appearance - Customer Service attitude, but adheres to boundaries
17. Self-starter who is able to work well under limited supervision, but also work equally well in a team
18. Attention to detail

Education and Experience:
• Associate’s Degree Preferred - Secretarial or Human Service Related
• At least 3 years working in a Front Office environment as a Receptionist or similar role
• Proficient in Microsoft Office Suite
• Strong working knowledge of office procedures.
